How do I set up and manage my company’s Organisational membership?
Is ‘Institutional Membership’ the same as ‘Organisational Membership’?
The new ‘Organisational Membership’ has replaced the previous ‘Institutional Membership’. Current ‘Institutional Memberships’ are transferring to the new ‘Organisational Membership’ as they expire.
For the first time each ‘Organisational member’ gets their own individual IATEFL membership, they can choose a Special Interest Group (SIG) to join at no additional cost, and benefit from all the benefits, services, opportunities and discounts as any other IATEFL member.
With the previous Institutional membership, only 4, 8 12 or 16 staff members could benefit, whereas with Organisational membership you can have as many staff members as you wish, and add others at any time.
Important: to qualify for the 20% discount on each membership your organisation must always have a minimum of 4 staff members with an IATEFL membership to qualify).
Does each of my staff members need to set up their own individual membership?
No – as long as they have created a free login account on the IATEFL website, they need to be linked to the Organisation Group, similar to how the old institutional group worked. Then your organisation’s nominated account administrator can purchase the memberships for them. You will be able to check this by going to ‘My organisation’ (which only your account administrator can see), select ‘connected staff details’ and then ‘manage members’.
If they have not created a free login account on the IATEFL website then they can set one up here using this link: Create a free IATEFL account. Once they have done that the account administrator for your organisation will be able to ‘Connect’ them as staff members to your organisation.
How do we create an account for our organisation, add our staff members, and then give them an IATEFL membership?

How are the SIGs attached to the organisation?
They’re not attached to the organisation. Each staff member who is given membership of IATEFL through your organisation can choose to join one of our 16 Special Interest Groups (SIGs) at no extra cost. They can choose to pay and join additional SIGs at any time through their dashboard.
If you would like to organise additional SIGs for staff members through your association,
1) Either you can email us here at [email protected] with a list of those members having multiple SIGs on their membership, along with their ID number or email address attached to their IATEFL account, and obviously their extra SIG choice(s), and we will add them for you on our side and send you an amended invoice that includes these extra SIGs with a payment link. Once payment is received these memberships will go live. Or,
2) Alternatively, add the members that you would like listed and their first choice of SIG as mentioned above whilst processing the ‘Organisational Membership’. Then ask each member to add the extra SIG(s) to their individual membership, selecting the ‘pay later’ option. This will generate an invoice in their ‘My Payments’ section of their ‘Dashboard’ which they can download and forward to you for payment to be made on their behalf. Once all the invoices have been sent to you for the extra SIG’s you can email [email protected] to request a payment link to be sent to you whereby you just make one payment.
How does our organisation pay for everything with one single invoice to our organisation?
Once in the cart, it creates one invoice for your entire order, so that when you click ‘checkout’ you will be able to pay either through the website, or click ‘pay later’ and download one invoice with your whole order via ‘my payments’.
Is it easy enough to switch SIGs mid-year?
No, your SIGs are an annual membership. You can change your choice of SIG(s), or that of a staff member you are renewing, when you renew your/their membership. You cannot, however, make such changes during your membership year.
I have added staff members to the list. However, I am unable to delete staff members who are no longer part of my organisation; even if I choose “no”, they still appear in the cart, while others I added and submitted have not been saved.
Your organisation’s account administrator should email [email protected] with the names of people you wish to ‘disconnect’ from your association.
In the checkout cart everybody’s name seems to appear twice?
This is correct as there are two different membership types per member/individual: the ‘IATEFL’ part and the ‘SIG’. However it is not possible to be a member of a SIG without being a member of IATEFL. The cart will show the two different elements of each membership.
When I add existing members to the cart, I am puzzled about the column headers. First, I see a column called “Membership to be given (individual)” and then Yes or No options. I believe that I should add them as individual members first, but then they come up as individual members AND organisational members.
One of the main differences is that your ‘Organisational Members’ will get an ‘Individual Membership’ with a SIG of their choice. However, those listed will fall under the umbrella of your ‘Organisational Membership’. This is what the Individual Organisational Membership label in the cart means.
